JOB IDENTIFICATION

A. TITLE: Human Resources Coordinator

B. REPORTS TO: Director of Human Resources

II STATEMENT OF PURPOSE

The Human Resources Coordinator assists with the human resources, benefits, and compliance functions of the organization.

III RESPONSIBILITY FOR THE WORK OF OTHERS

None

IV BUSINESS COMMUNICATIONS

A. Communication with the Director of Human Resources is frequent.

B. Communication with the CFO is ongoing.

C. Communication with all other employees is frequent.

D. Communication with regulatory agencies is as required.

E. Communication with external HR/benefits providers is regular.

V SUPERVISION REQUIRED

The position requires an initiative-taking individual who is comfortable working under regular leadership and direction from the Director of Human Resources.

VI EDUCATION REQUIRED

The position requires an Associate degree in Human Resource Management or a related field or equivalent combination of education and experience.

VII TRAINING AND SPECIALIZED KNOWLEDGE REQUIRED

A. Excellent verbal and written communication skills.

B. Excellent people skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.

C. Excellent organizational skills and attention to detail.

D. Proficient with Microsoft Office software.

E. Strong analytical and critical thinking skills with the ability to research new and existing laws or regulations.

F. Excellent time management skills with a proven ability to meet deadlines.

G. Ability to prioritize and organize work in a multitasked environment.

H. Working understanding of human resource principles, practices, and procedures.

VIII EXPERIENCE REQUIRED

The position requires 2-3 years in a related position.

IX SPECIFIC DUTIES AND RESPONSIBILITIES

A. Assist with the recruitment and interview process. Tracks status of candidates in appropriate spreadsheet for Affirmative Action compliance.

B. Prepare new employee files.

C. Assist in developing and implementing agency onboarding, stay interview and exit interview practices and procedures.

D. Conduct or assist with new hire orientation and onboarding.

E. Complete forms I-9, verify I-9 documentation and maintain I-9 files.

F. Maintain accurate and up-to-date human resource files, records, and documentation in such a way that ensures confidentiality and compliance.

G. Schedule, review, track, and document compliance with mandatory and non-mandatory training.

H. Schedule meetings and interviews as requested by the Director of Human Resources.

I. Assist with administration of health and welfare plans, including enrollments, changes, terminations, and COBRA. Processes required documents through insurance providers to ensure accurate record-keeping.

J. Reconcile benefits statements.

K. Assist with the preparation of the performance review process.

L. Maintain approved job descriptions as directed.

M. Complete various employment related reports including but not limited to Equal Employment, Affirmative Action, and Veterans employment.

N. Assist or prepare correspondence as requested.

O. Assist with employee recognition and awards programs.

P. Assist with preparation of the quarterly NIB and NYSPSP labor ratio reports, and annual NIB Technical Assistance Visit.

Q. Make photocopies; mail, scans, and emails documents; and perform other clerical functions.

R. Perform other duties as assigned.
