I. JOB IDENTIFICATION
A. TITLE: Administrative Assistant – Health and Rehabilitation Services
B. REPORTS TO: Director – Health and Rehabilitation Services
C. FLSA STATUS: Non-Exempt
II. STATEMENT OF PURPOSE
The Administrative Assistant is responsible for providing administrative and secretarial support to the Director – Health and Rehabilitation Services and Division staff.
III. RESPONSIBILITY FOR THE WORK OF OTHERS
IV. BUSINESS COMMUNICATION
A. Communication with Director – Health and Rehabilitation Services and staff is ongoing.
B. Communication with contracting and referral agencies is ongoing.
C. Communication with telephone callers and visitors is frequent.
V. SUPERVISION REQUIRED
This position requires independent action in close coordination with the Director.
VI. BASIC QUALIFICATIONS
A. High school diploma.
B. At least two years’ experience of data entry and word processing with Windows operating system and Microsoft Office including Word, Outlook, and Excel.
C. Minimum typing speed of at least 40 wpm.
VII. ADDITIONAL QUALIFICATIONS
A. Must be highly organized with a strong ability to multi-task and prioritize appropriately.
B. Must be detail-oriented.
C. Excellent interpersonal and customer service skills are required.
D. Experience setting up and tracking contracts, and billing third party payors (contracted, voucher, and insurance) desired.
E. Experience with Access is preferred.
IX. PRIMARY DUTIES AND RESPONSIBILITIES
A. Assist new or returning consumers connect with appropriate service personnel; obtain service authorizations
B. Maintain Excel spreadsheets and hard copy records of consumers receiving services; generate quarterly and other reports.
C. Maintain record of sources of referral for all clients receiving services.
D. Open and close consumer case files as directed and update consumer status (change of address, moved out of service area, determined not blind, deceased, etc).
E. File all relevant paperwork to consumer case files
F. Call consumers to inform of appointment changes.
G. Must maintain confidentiality.
H. Process all Division voucher and billing documents.
I. Maintain inventory of equipment/aids and appliances etc. for the AVRE ViewPoint retail store, for distribution under contracted services and through AVRE’s Richterman Low Vision Center.
J. Prepare Purchase Orders for Health and Rehabilitation Services inventory
K. Type Division correspondence as needed.
L. Assist in preparation of Final Reports for submission to contracting/referral agencies.
M. Prepare contracts with external funders
N. Serve as team lead for ViewPoint retail store.
i. with Director identify new items for ViewPoint, coordinate with Communications to promote new items, manage store display and inventory, coordinate staffing to ensure full coverage, coordinate training of ViewPoint associates to ensure consistent store practice and documenting of sales.
O. Schedule low vision clinic and functional low vision clinic days to meet patient demand; schedule patient appointments
P. Fill-in driver for legally blind clinical professionals as designated.
Q. Perform various tasks as needed for the Director – Health and Rehabilitation Services and Health and Rehabilitation Services team.
R. Answer telephone and greet visitors when receptionist is not available.
S. Provide exceptional customer service
T. Perform other duties as assigned.
